Spend Management Software
Our spend management software works independently of the hardware underpinning it. The only rule is that the devices must be on the network. Other than that, they can be from any manufacturer and supported by any channel. There are four components: Quotas, Rules, Pricing and Chargeback.
Quotas
User or department quotas restrict either overall print output or just limit colour output. Often the fact that usage is being is being monitored is sufficient to ensure that employees self-police their own print usage.
Rules
Rules ensure that the right device for the job is chosen automatically. Large and/or colour jobs are redirected to more cost-effective equipment. Time and date restrictions eliminate the risk of personal printing. User popups inform them of the actions taken.
Pricing
Different attributes (paper, media, input, single/duplex, colour, finishing, etc) are allocated a price. Date and time variables are included. Dual pricing allows for a distinction between internal and external charging.
Chargeback
Costs can be allocated to department cost centres or external projects via codes. The job will not print until a code is entered either on the PC or MFD. This ensures accurate internal accounting as the exact costs are allocated and maximises billing revenue by allocating the correct charges to client invoicing, with full audit trail.
